Employees of shelters for victims of domestic violence are required to make necessary and sufficient entries. These entries are used for the organisation, planning, implementation, monitoring, and supervision of shelter services. Client documents are prepared for every client receiving shelter services. Clients include both adults and children. An adult experiencing domestic violence or related threat may, if necessary, stay at the shelter anonymously.

THL is the data controller for shelter services. The client data of shelters is part of THL’s client register. Client data is saved in the client records system used by the shelter. From there, it is transferred to the Kanta Services (client data repository for social welfare services). Documents related to shelter services, or services concerning the prevention of domestic and intimate partner violence, are not available in MyKanta.

At the shelter, the shelter’s own documents, documents used in violence-related work, and documents common to all social welfare service tasks are used. The document structures specific to shelters for victims of domestic violence are:

  • initial assessment for shelters for victims of domestic violence
  • service plan for shelters for victims of domestic violence.

Up-to-date instructions related to information management in social welfare are available in the Kanta services handbook for social welfare operators. The document structures are available in THL’s Sosmeta service.
